paper pharmacy processes. Offering order entry, MedPass, reporting, inventory
management, reconciliation and much more, Sapphire will assist your medical
staff to operate more efficiently, all while improving accuracy.
EASY TO USE
Sapphire eMAR has been designed with the user in mind. Our design
makes it simple to navigate, with numerous parameters which may be customized
specifically for each facility. Additional user features include an online help
system, dashboard alerts (new products, enhancements, procedures, etc.), quick
links to additional programs, and printable records.
SECURE
Sapphire eMAR is
fully HIPAA compliant, and contains enhanced security features. Additionally,
your data is secure with a clustered server architecture which enables immediate
recovery in the event of a server hardware failure. Data is also stored
off site and at a second additional backup site. Sapphire
persistently stores all information to prevent any sort of data loss.
CUSTOMIZED
TO YOUR NEEDS
Sapphire allows your facility to set multiple custom user roles and
permissions, allowing even greater control over security. Medications may be set
up and categorized as controlled, OTC or Keep On Person, and your default HOA
schedules can be set or customized to meet your facility’s needs. Sapphire also
offers
your staff the ability to set up custom reasons for PRN’s, inventory
adjustments, non-formulary selections, discontinued orders as well as MedPass
refusals or absences. Settings may also be adjusted to require secondary
credentials for destroying non-controlled stock or non-controlled and controlled
patient medications. Also, Sapphire offers the option to view medication images
during MedPass, which further assists in accuracy. Options to set a default days
supply of medications, allow/not allow KOP designation for specific patients, and
split and merge patient charts also add to the efficiency of Sapphire.
ORDER
ENTRY
Sapphire’s order entry module is comprehensive, and includes several features to
help minimize ordering errors. Utilizing drop down menus, you can easily
order medications and select prescribers. From there, Sapphire learns
prescribing patterns and features a custom
direction builder, with the ability to enter allergies and distribution type
(staff administered vs. KOP). The patient chart provides all necessary
information such as currently and previously prescribed medications, start and
end dates, prescriber, staff activity, refill and reorder dates, doses administered
and individual MAR’s. Changes are easy to make in the patient’s profile and in
the order status. For ease of use, your pharmacy’s entire medication inventory is
displayed for selection. Brand, generic and synonym name searches will also
assist your staff in selecting the proper medication. Medication selections
auto-complete and automatic generic conversions are utilized for cost
containment. For your facility, medication selections are broken down into most
commonly prescribed per specific patient and also by most commonly prescribed
per facility.
Duplicate therapy warnings are also issued. Once orders are received utilizing
our reconciliation program, they are automatically populated onto the
MAR.

MEDPASS
The MedPass
function of Sapphire is versatile and enables your facility to efficiently
administer and record medications utilizing a barcode scanner. A prep list may
be printed prior to MedPass, and can be sorted by time, location or
alphabetically. MedPass can also be sorted by name or location. Barcode scanning
ability ensures that the right patient is receiving the right medication at the
right time. Sapphire’s MedPass records the proper administration date, time and
electronic signature of the staff administering. During each MedPass, Sapphire allows you to
see which medications were not administered. The status bar displays during
MedPass showing your staff the MedPass statistics. Notes may be added during any
MedPass administration while compliance is displayed and tracked. In keeping
with HIPAA compliance, there is a hide and lock screen function to ensure
patient information security. Sapphire’s in depth patient profile for MedPass
may be set to include enhanced patient lookup and patient photos. Like with
order entry, Sapphire has options in MedPass to ensure the proper medication is
received utilizing a barcode scanner. Medication listings show both brand and
generic names and displays medication images, which include shape, color and
imprints. If medication is administered via injection, Sapphire features point
and click medication documentation on a body outline, recording injection quantities.

REPORTING
Sapphire’s reporting function generates
numerous reports to measure compliance, user activity, therapeutic class reports
and much more. It has the ability to generate a refill or reorder report that will
alert staff of non-formulary usage and all medication orders that are due for a refill or reorder within
seven days based on the true administration. Compliance reports may be generated
based on administration percentages or doses missed. Refusal reports may also be
generated showing any patients who have refused their medications within a
certain date parameter. KOP reports will populate all patients who are currently
taking KOP medications. Prescription reports can display all medications ordered
within certain dates. These can be medication specific or in general. Reports
may even be generated for a specific site or grouped by a region of sites. Paper
MAR’s may be batch printed at the end of each month for inclusion into the
patient’s physical chart.

RETURNS
With
Sapphire, returning medications have never been easier. Simply scan the barcode
and notate the amount of medication being returned. You may then print the
report and include it with your medication returns. In addition, all returned
information will be archived.
INVENTORY-PATIENT STOCK AND CONTROLLED STOCK
Inventory for controlled medications, stock medications and patient specific
medications can be managed with great ease and accuracy using Sapphire. With
Sapphire, your facility is able to manage all controlled medications
utilizing an online double verification for all control counts. Any count
discrepancies will need to be documented and a reason must be given; ensuring
not only accuracy but also accountability. Sapphire assists you in maintaining
medication inventory. Maximum and minimum quantities are able to be entered and
Sapphire will notify you when your supply is running low. This feature enables
your facility to quickly assess your remaining stock supply and easily reorder
the mediation. Medication inventory is based on actual administrations as you
scan order shipments in and as you administer doses, your inventory count will
automatically adjust, and Sapphire has the ability to account for any dropped or
damaged doses. Sapphire also incorporates the ability to alert users when refills
are due; and to initiate the process with the click of a button, eliminating the
need for manually tracking refills and pulling off reorder stickers. |
